Terms of Service

Last updated: March 2025

Overview

These terms govern your use of the website efficiencyarchitect.co.uk and any services provided by The Workflow Studio ("we", "us", "our"), operated from Manchester, UK. By using this website or engaging our services, you agree to these terms.

Services

The Workflow Studio provides AI-powered automation consultancy, workflow design, and system development for businesses. The specific scope, deliverables, timeline, and pricing for each engagement are agreed upon individually and confirmed in a separate written proposal or statement of work before any project begins.

Discovery calls and audits

Initial discovery calls and workflow audits are provided free of charge and without obligation. No commitment is required following a discovery session. Any subsequent engagement will be subject to a separate agreement.

Proposals and pricing

All project pricing is provided as a fixed-price proposal following our discovery process. Proposals are valid for 30 days from the date of issue unless otherwise stated. We reserve the right to adjust pricing if the scope of work changes materially from what was originally agreed.

Intellectual property

Upon full payment, all custom automation systems, workflows, and documentation we build for you are yours. You receive full ownership of all deliverables created specifically for your project. We retain the right to use general knowledge, techniques, and non-confidential methodologies gained during the engagement for future work.

Confidentiality

We treat all information shared during discovery sessions, audits, and project work as confidential. We will not share your business processes, data, or operational details with any third party without your explicit written consent. This obligation survives the end of any engagement.

Data handling

All systems we build are self-hosted on UK infrastructure. Your data never leaves the United Kingdom. We are fully GDPR-compliant and do not use any third-party AI services that retain your data. For full details on how we handle personal data, see our Privacy Policy.

Ongoing support

All projects include a handover period with documentation and training. Ongoing support, monitoring, and refinement are available through a separate monthly retainer agreement. The terms of any retainer will be agreed upon in writing.

Limitation of liability

While we take every care to build robust, well-tested systems, we cannot guarantee that automation systems will be entirely free of issues in all circumstances. Our liability for any claim arising from our services is limited to the total fees paid for the specific engagement in question. We are not liable for indirect, incidental, or consequential losses.

Cancellation

Either party may terminate an engagement with 14 days' written notice. If you cancel a project after work has begun, payment is due for all work completed up to the date of cancellation. Any retainer arrangement can be cancelled with 30 days' written notice.

Website use

This website is provided for informational purposes. While we make every effort to keep the content accurate and up to date, we do not warrant that the site will be available without interruption or that all information will be completely current at all times.

Governing law

These terms are governed by and construed in accordance with the laws of England and Wales. Any disputes arising from these terms or our services will be subject to the exclusive jurisdiction of the courts of England and Wales.

Changes to these terms

We may update these terms from time to time. Changes will be posted on this page with an updated date. Continued use of our website or services following any changes constitutes acceptance of the revised terms.
